Stage 1: Discovery Call - The Introduction
Every project begins with a conversation.
The initial Discovery Call is typically a 30-minute introductory meeting where we focus on understanding your operation, current challenges, and high-level project goals. During this stage, we discuss:
- What pain points or bottlenecks are you currently experiencing?
- What are your long-term operational goals?
- What systems or processes are currently in place?
- What does a successful project look like for your team?

Stage 2: On-Site Assessment - Seeing the Operation Firsthand
Once we determine there’s a good fit, we move out of the meeting room and onto the warehouse floor.
This is an in-person site visit where our team gains a deeper understanding of your facility, workflow, and operational environment. For clients with complex setups or multiple locations, this may involve several visits. During this stage, we:
- Conduct a visual assessment of the operation
- Observe material flow and bottlenecks in real-time
- Take photos and preliminary measurements
- Discuss operational challenges directly with your floor stakeholders

Stage 3: Solution Preparation - Diving into the Data
Before designing a solution, we need a complete, data-backed picture of your business.
In the Solution Preparation stage, we collect the technical and operational information necessary to develop accurate concepts and ROI recommendations. This typically includes:
- Facility drawings and layouts
- Throughput and operational data
- Process flows
- Existing software, WMS, and systems
- Automation equipment and infrastructure limitations
The goal here is simple: understand every parameter we need to work within while identifying areas where efficiency, throughput, and performance can be significantly improved.
Stage 4: Concept Level 1 - The High-Level Direction
With the data in hand, we move into the first concept design phase.
At this stage, our team develops a high-level solution concept designed to address your core operational goals. We then present this concept—either remotely or in person—to gather feedback and align expectations.
This collaborative review process allows us to:
- Validate the proposed direction and layout
- Discuss initial operational and budgetary considerations
- Identify necessary revisions or refinements

Stage 5: Concept Level 2 - Refinement & Material Flow
After incorporating your feedback, we develop a highly detailed, engineering-backed presentation.
Concept Level 2 focuses on refining the proposed solution and developing material flow diagrams that demonstrate exactly how the operation will function and meet your throughput requirements. This stage provides total clarity around:
- Physical material movement and layout optimisation
- Validated throughput expectations
- Workflow and labour efficiency improvements
- System and software interaction
By this point, you will have a clear, transparent vision of exactly how the final solution will operate within your facility.
Stage 6: Project Kick-off - From Concept to Execution
Once the final proposal is agreed upon and a purchase order (PO) is received, the project officially transitions into the final planning and integration stage.
Our engineering and project management teams take the lead to:
- Lock in final engineering drawings and specifications
- Coordinate procurement with suppliers and integration partners
- Establish strict project timelines, milestones, and deliverables
- Plan the on-site implementation to minimise disruption to your ongoing operation
